The use of a photo box for employee photos
The employees in your company are given the option to photograph and / or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
This gives your workforce the option to fully identify themselves at any time with their own employee photo.
The staff photos are automatically optimized to the best possible format, freed from annoying elements in the background and optionally saved in some formats and aspect ratios.
The solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees can stand in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read in directly from the company ID. The data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
Following the recording of the employee portrait, the background of the recording can automatically be exchanged for one or more background settings you have specified. The head of each photo is also located, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved picture and the in-house employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in different formats at the same time.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be immediately shown on the picture.

How does the photographed person get the photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, the employee can choose between three different ways to receive his photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to load his or her original image and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
