The mission goal
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves to 100% at any time with their personal employee photo.
The staff photos can be automatically adjusted to the best format, freed from annoying elements in the background and saved in several shapes and aspect ratios if desired.
Our proposed solution
You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, just like with a passport photo machine, and see the instructions for the necessary actions on the screen.
The monitor serves as a touchscreen and as an input terminal for the necessary information, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the business card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can be done in parallel in different sizes.
So you always have the right photo for
Outlook, XING, the CRM system, LinkedIn
etc. are available.
Of course, each file can also be “branded” using the company logo and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get their photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to get their photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original recording and the various formats for the various target systems.
Alternative uses
In order to make the best possible use of your investment, you have the following options:
- Use at trade fairs to create personalized “flyers”
- Use at employee parties (summer party, Christmas party ...}
- Recording of biometric passport photos and ID photos
- Photo attraction at customer events & meetings
- Employee photos (as described above)
- Photos of groups of visitors, e.g. after a tour of the company
The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worth it for organizations with around 100 or more employees.
Of course there is also the option to try out the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.

Since the system was implemented in 2019, two systems have been installed permanently in Germany and Zurich.
