The mission goal

The employees in your company get the opportunity to create and/or update their individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra staff are not required on site.
You give your workforce the option to identify themselves at any time to 100% with their personal employee photo.

The staff photos can be automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

Our proposed solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and see the instructions for the necessary actions on the screen, as with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read directly from the company ID card. The information recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee profile can also be set up.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a specified location on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in many dimensions at the same time.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee will be immediately included in the picture.

How does the staff get their photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to get their photo as a file.

  1. Download from an offline gallery via QR code
    The photo box provides its own WLAN which the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where the employee can download his photos. In contrast to the online gallery, this path is only in the immediate vicinity of the photo box.
  2. Download from an online gallery
    At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the different target systems.
  3. Enter the email address at the end of the photo sequence.
    Then the captured photo is immediately sent to the employee's email address.

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
