The mission goal
The employees in your company are given the option to photograph and / or update the individual employee photo at a fixed location or at a regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to fully identify themselves around the clock with their individual employee photo.
The staff photos can be independently cut to the appropriate format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the screen.
The monitor serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the photograph of the employee portrait, the background of the recording can automatically be exchanged for one or various backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for the ActiveDirectory). The name of the file is used to compare the recorded portrait and the internal employee data record. We would be happy to help your IT department clarify the connection.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in different sizes at the same time.
So you always have the right photo for

Of course, each file can also be “personalized” with the help of the logo and / or the name and position of the employee are immediately shown on the picture.

How did the staff come to the picture?
So that not only the CRM system or the ActiveDirectory comes into possession of the new recordings, there are three different ways for the employee to receive his photo digitally.

In this case, the captured photo is immediately sent to the employee's email inbox. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photobox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original image as well as the different versions for the various target systems.
Other possible uses

The need for investment
The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
