The mission goal

The employees in your company are given the opportunity to photograph and / or update the individual employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% around the clock with their own employee photo.

The staff photos can be automatically cut to the best possible format, removed from disruptive elements in the background and optionally saved in many dimensions and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. ID, name, family name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can simply be read from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.

Following the photograph of the employee picture, the background of the recording can automatically be exchanged for one or more backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined point.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved photo and the in-house employee data record. We would be happy to help your IT department clarify the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in parallel in several formats.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee can be immediately included on the picture.

How does the employee get the photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download his or her original image and the various formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's email inbox.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The cost frame

The cost of buying a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
