What should be achieved?
The employees in your company have the opportunity to create their own employee photo and/or update it at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to fully identify themselves at any time with their individual employee photo.
The staff photos can be automatically adjusted to the right format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box and read the operating instructions for the necessary actions on the screen, as with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee report can also be set up.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department determine the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
Image output can happen in many forms simultaneously.
So you always have the right photo for
Instagram, LinkedIn, Facebook, Twitter, the CRM system
etc. ready.
Logically, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the worker can use to download his original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address.
Alternative uses

The cost frame
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
