The use of a photo box for employee photos
The employees in your company get the opportunity to take their own employee photo and/or update it at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your workforce the option to identify themselves around the clock to 100% with their individual employee photo.
The personal photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth like in a passport photo booth and see the instructions for the necessary steps on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the required data such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in parallel in different sizes.
So you always have the best photo for
WhatsApp & Co, XING, the CRM system, Twitter, Facebook
etc. at hand.
Of course, each file can also be "branded" with logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photobox provides its own WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery where the employee can load his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
Alternative deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
