The mission goal
The employees in your company are given the opportunity to create and / or update their individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the option to identify themselves completely around the clock with their own employee photo.
The staff photos are automatically cut to the best format, freed from disruptive elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the operating instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read in immediately from the employee ID card. The employee data collected in this way are then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or more backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place synchronously in different dimensions.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee can also appear on the picture.

How does the photographed person get their photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the employee to get his picture digitally.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent immediately to the employee's mailbox. - Download via QR code from an offline gallery
The Photobox provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery in which the employee can copy down his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original image and the various versions for the various target systems.

The need for investment
The investment for purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
