The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the opportunity to always identify 100% with their own employee photo.
The personal photos can be automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary steps on the screen.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in defining the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in many dimensions at the same time.
So you always have the right photo for
Outlook, Facebook, the CRM system, WhatsApp & Co, LinkedIn, Twitter
etc. are available.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get the picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to choose from to get his picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed, which the employee can use to copy his original photo and the various versions for the different target systems. - Enter the e-mail address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email inbox. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The need for investment
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
