The use of a photo box for employee photos
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option of fully identifying themselves around the clock with their own employee photo.
The staff photos can be independently adapted to the optimal format, freed from disturbing elements in the background and optionally saved in different formats and aspect ratios.
Our proposed solution
You can position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the monitor, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the business card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the file name. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in different dimensions.
So you always have the ideal photo for
the CRM system, WhatsApp & Co, XING, Twitter, LinkedIn, Facebook, Outlook, Instagram
etc. at hand.
Logically, each file can also be “personalized” using the company logo and/or the employee's name and position can appear directly on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Use at trade fairs to produce personalized “flyers”
- Employee photos (as explained above)
- Pictures of groups of visitors, e.g. after a lecture
- Creation of biometric passport photos and ID photos
The need for investment
The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.

Since the system was introduced in 2019, two photo boxes have been permanently installed in this country and in Zurich.
