The mission goal

The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.

The staff photos can be automatically cut to the appropriate format, removed from disruptive elements in the background and optionally saved in certain formats and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the screen.

The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read in directly from the employee ID. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the recording.

After the photo of the employee portrait, the background of the photo can be automatically exchanged for one or more backgrounds you have specified. The head is also found for each photo, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image can be output in several dimensions at the same time.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How did the staff come to the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the employee to get his picture digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original photo and the different formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo will be sent directly to the employee's email address.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box.

In order to get the most out of your investment, you have the following options:

The need for investment

The price for buying such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
