The use of a photo box for employee photos
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this is done in the form of a self-service process and that extra staff are not required on site.
You give your employees the option to identify themselves to 100% around the clock with their own employee photo.
The staff photos are automatically adjusted to the ideal format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.
Our proposed solution
You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary steps on the display, just like with a passport photo machine.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee portrait has been photographed, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in many sizes at the same time.
So you always have the perfect photo for
the CRM system, Outlook, WhatsApp & Co, Twitter
etc. lying ready.
Of course, each file can also be “branded” with logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to receive his photo as a file.
- Download from an offline gallery via QR code
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the different versions for the various target systems. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
