What should be achieved?
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not required on site.
You give your staff the chance to identify themselves completely at any time with their own employee photo.
The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and saved in a number of dimensions and aspect ratios if desired.
One possible solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary steps on the display.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. EmployeeID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured so that the data can be read directly from the employee ID card. The information collected in this way will later become part of the file name of the employee photo taken.
Alternatively, a disclaimer screen can be set up with a confirmation option for internal / external use of the photo.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place synchronously in various dimensions.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to get his photo digitally as well.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load his original image and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code will appear on the screen. This QR code leads to an offline gallery from which the employee can copy his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
