The use of a photo box for employee photos

The employees in your company get the opportunity to photograph and/or update their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.

The staff photos can be cut to the right format, freed from disturbing elements in the background and saved in different sizes and aspect ratios if desired.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary steps on the touchscreen, similar to the photo booth.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read directly from the company ID card. The employee data collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen in several sizes at the same time.
So you always have the right photo for

Of course, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee can be included in the picture.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to get his picture digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can download his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original recording and the various versions for the various target systems.

Additional deployment options

In order to take full advantage of the purchase, you have the following options:

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
