The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to fully identify themselves at any time with their individual employee photo.

The personal photos are automatically cut to the best format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.

One possible solution

You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary actions on the monitor, as with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After photographing the employee portrait, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen simultaneously in different dimensions.
So you always have the right photo for
Instagram, Outlook, WhatsApp & Co, LinkedIn, the CRM system, Facebook, XING
etc. at hand.

Logically, each file can also be “branded” with logos and/or the employee's name and position will be included in the image.

How does the employee get the photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for the employee to receive their image as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different sizes for the different target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobooth provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery where the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
