The use of a photo box for employee photos
The employees in your company have the chance to take their own employee photo and / or bring it up to date at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to fully identify themselves around the clock with their individual employee photo.
The staff photos can be automatically cut to the best possible format, removed from disruptive elements in the background and optionally saved in certain dimensions and aspect ratios.
Our proposed solution
You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and read the operating instructions for the required actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read out immediately from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the recording.
Following the photograph of the employee portrait, the background of the image can be automatically exchanged for one or different backgrounds you have specified. The head of each photo is also found, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the recorded portrait and the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in different forms.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be directly visible on the image.

How does the photographed person get the picture?
So that the CRM system or the ActiveDirectory alone does not benefit from the new images, there are three different ways for the employee to receive his photo as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery in which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo will be sent immediately to the employee's email address.

Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
