What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra staff is not needed on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.

The staff photos can be automatically adapted to the appropriate format, freed from annoying elements in the background and optionally saved in many formats and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box like in a passport photo machine and read the instructions for the necessary steps on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID card. The information collected in this way will later become an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the recording.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different dimensions at the same time.
So you always have the perfect photo for

etc. are available.

Logically, each file can also be “personalized” with the help of the logo and/or the employee's name and position will be immediately visible on the image.

How does the staff get their photo?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to receive his photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different formats for the different target systems.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.
3. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. This QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

In order to get the most out of your investment, you have the following options:

• Recordings of groups of visitors, e.g. after a tour

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
