What should be achieved?
The employees in your company are given the opportunity to create and / or update their own employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to identify themselves at any time to 100% with their own employee photo.
The staff photos are automatically adapted to the best possible format, removed from disruptive elements in the background and optionally saved in many dimensions and aspect ratios.
One possible solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth in the same way as with a passport photo machine and read the instructions for the necessary steps on the display.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read out directly from the employee ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a release option for internal / external use of the photo.
Following the photograph of the employee portrait, the background of the photo can automatically be exchanged for one or more of the backrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a specified location.
The image is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in various forms at the same time.
So you always have the right photo for
the CRM system, Instagram, WhatsApp & Co, XING, Outlook

Of course, each file can also be “personalized” with logos and / or the name and position of the employee can be directly visible on the picture.

How did the staff get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to choose to receive his picture digitally.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery in which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to download the original photo and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.

In order to make the best possible use of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
