The mission goal

The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option of fully identifying themselves around the clock with their own employee photo.

The personal photos are automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box like in a passport photo machine and see the operating instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is simply read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be set up.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the picture. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in various dimensions at the same time.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee will be visible on the image.

How does the staff get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to receive his photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.

Other uses

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
