The use of a photo box for employee photos

The employees in your company have the opportunity to take their personal employee photo and / or bring it up to date at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.

The staff photos can be automatically cut to the optimal format, removed from disruptive elements in the background and optionally saved in some formats and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the operating instructions for the required steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the required data such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read from the employee ID. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

Following the photograph of the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds you have specified. In the same way, the head of each photo is found, adjusted to a specified size and placed on the final image at a specified location.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in many dimensions at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be visible on the image.

How does the employee get the photo?

So that the CRM system or ActiveDirectory alone does not benefit from the new photos, employees can choose between three different ways to get their photo as a file.

1. Download from an offline gallery via QR code
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery in which employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original photo and the different sizes for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent immediately to the employee's email address.

Alternative uses

To get the most out of your investment, you have the following options:

• Pictures of groups of visitors, e.g. after a tour
• Employee photos (as explained above)
• Production of biometric passport photos and ID photos
• Use at company parties (summer party, Christmas party ...}

The cost frame

The price for purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
