The mission goal

The employees in your company have the option to photograph and / or update the individual employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to fully identify themselves at any time with their personal employee photo.

The staff photos are automatically cut to the appropriate format, removed from disruptive elements in the background and optionally saved in certain dimensions and aspect ratios.

The solution

You can place a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, employees can stand in front of the photo booth, similar to a passport photo machine, and read the operating instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo booth can also be programmed so that the data can be read directly from the employee ID card. The data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be set up.

After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined point.

The image is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in clarifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in different sizes at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be immediately visible on the picture.

How does the employee get the photo?

So that the CRM system or ActiveDirectory alone does not benefit from the new photos, employees can choose between three different ways to receive their photos digitally.

1. Enter the email address at the end of the photo sequence.
   The captured photo is sent immediately to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can upload their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to download his or her original image and the various sizes for the various target systems.

The cost frame

The price for buying a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
