What should be achieved?

The employees in your company get the opportunity to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to always fully identify themselves with their individual employee photo.

The personal photos can be independently adapted to the optimal format, removed from disturbing elements in the background and, if desired, saved in different shapes and aspect ratios.

Our proposed solution

You position a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, just like at a passport photo machine.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the company ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the recording.

After photographing the employee portrait, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in defining the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen at the same time in various sizes.

Of course, each file can also be "personalized" with company logos and/or the designation and position of the employee will appear directly on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the company employees to choose to also get their picture digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load their original photo and the various formats for the different target systems.
2. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Use at trade fairs to produce personalized “flyers”
• Use at company parties (summer party, Christmas party ...}
• Employee photos (as described above)
• Creation of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a tour
• Photo attraction at customer events & meetings

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
