What should be achieved?
The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to identify themselves at any time to 100% with their personal employee photo.
The staff photos are automatically adjusted to the best format, freed from annoying elements in the background and optionally saved in various formats and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and read the operating instructions for the necessary actions on the screen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read from the company ID card. The information collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the image.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the connection.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen in parallel to different extents.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will appear right on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to get their photo digitally.
- Enter the email address at the end of the photo sequence.
The captured photo is then sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the various formats for the various target systems.

Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
