The mission goal
The employees in your company have the chance to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to fully identify themselves at any time with their own employee photo.
The staff photos can be automatically cut to the best possible format, removed from disturbing elements in the background and optionally saved in several formats and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box in the same way as with a passport photo machine and read the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
After the photo of the employee portrait, the background of the photo can be automatically replaced with one or many of the backrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed on the final image at a defined point.
The photo is saved in a size and format determined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved portrait and the internal employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place synchronously in many forms.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can also be on the picture.

How does the photographed person get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for employees to get their photos digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to load his or her original image and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.

Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
