The mission goal
The employees in your company have the option of taking their personal employee photo and/or updating it at a fixed location or at a rotating location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your teams the option to identify themselves completely around the clock with their individual employee photo.
The personal photos are automatically cut to the best format, freed from distracting elements in the background and saved in several formats and aspect ratios if desired.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a sharing option for internal/external use of the photo.
After the employee portrait has been photographed, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). The file name is used to compare the photo taken with the in-house employee data record. We would be happy to support your IT department in determining the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in parallel in various dimensions.
So you always have the right photo for
Outlook, Instagram, Facebook, XING
etc. lying ready.
Logically, each file can also be “personalized” with logos and/or the designation and position of the employee will be visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to receive his photo as a file.
- Download from an offline gallery via QR code
The Photobooth provides a private WLAN which the employee must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email address. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the various formats for the various target systems.
Further deployment options
In order to get the most out of your investment, you have the following options:
- Employee photos (as described above)
- Use at employee parties (summer party, Christmas party ...}
- Creation of biometric passport photos and ID photos
- Photos of groups of visitors, for example after a presentation
- Use at trade fairs to create personalized "flyers"
The need for investment
The cost of purchasing a customized photo box starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.
