What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to identify themselves at any time to 100% with their own employee photo.

The personal photos can be automatically adapted to the best format, freed from annoying elements in the background and optionally saved in various formats and aspect ratios.

A suggested solution

You can place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photobooth, analogously to a passport photo machine, and see the operating instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can be read directly from the company ID card. The employee data recorded in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the photo.

After the employee photo has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The image is saved in the size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen in several dimensions at the same time.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position can be included directly in the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, the employee has three different ways to choose from to get his photo digitally.

1. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   In this case, the photo taken will be sent directly to the employee's email address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load their original recording and the various formats for the various target systems.

In order to get the most out of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is kept immediately.
