The mission goal

The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to always fully identify themselves with their own employee photo.

The personal photos are automatically optimized to the best format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.

One possible solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit in front of the photobooth in a similar way to a passport photo machine and read the operating instructions for the necessary steps on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information, e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The data recorded in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a release option for internal / external use of the image.

Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the connection.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place simultaneously in different sizes.
So you always have the perfect photo for
Facebook, LinkedIn, WhatsApp & Co, Outlook, the CRM system, Instagram, XING, Twitter
etc. lying ready.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to choose from to get his picture as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original recording and the various formats for the different target systems.
2. Enter the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can load his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Production of biometric passport photos and ID photos
• Photo attraction at customer events & conferences
• Employee photos (as described above)
• Use at trade fairs to produce personalized “flyers”
• Pictures of groups of visitors, e.g. after a tour
• Use at employee parties (summer party, Christmas party ...}

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
