What should be achieved?

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your teams the opportunity to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically adjusted to the optimal format, freed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.

Our proposed solution

You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the touchscreen, similar to a passport photo machine.

The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read in immediately from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be set up.

After the employee photo has been taken, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and format defined by you (eg square for Active Directory). The name of the file is used to compare the photographed portrait with the in-house employee data record. We would be happy to help your IT department define the connection.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can be done in parallel in many formats.
So you always have the right photo for
Outlook, XING, LinkedIn, WhatsApp & Co, Twitter
etc. lying ready.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee will be immediately visible on the image.

How does the photographed person get their photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to receive their photo as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy the original photo and the different versions for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's email address.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
