What should be achieved?

The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their own employee photo.

The personal photos are automatically optimized to the optimal format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.

Our proposed solution

You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the recording.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image can be output in various formats at the same time.
So you always have the ideal photo for

etc. within easy reach.

Of course, each file can also be “personalized” using company logos and/or the designation and position of the employee can appear directly on the image.

How do the staff get their picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the field worker can use to load his original photo and the different sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the field worker has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Alternative deployment options

In order to get the most out of your investment, you have the following options:

• Employee photos (as described above)
• Use at sales force parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & meetings
• Photos of groups of visitors, for example after a presentation

The need for investment

The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
