The use of a photo box for employee photos

The staff in your company have the option of photographing and/or updating the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your employees the chance to always identify themselves to 100% with their individual employee photo.

The personal photos can be automatically optimized to the appropriate format, freed from annoying elements in the background and, if desired, saved in various shapes and aspect ratios.

A suggested solution

You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a photo booth, and read the instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place synchronously to a certain extent.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will appear directly on the image.

How does the staff get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to choose from to get their photo as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the workforce can use to download their original photo and the various formats for the various target systems.
2. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the staff must dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.

In order to make the best possible use of your investment, you have the following options:

The cost frame

The price for purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
