What should be achieved?

The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to always fully identify themselves with their personal employee photo.

The staff photos can be automatically cut to the right format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

The solution

You place a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required data such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a sharing option for internal/external use of the image.

After photographing the employee picture, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can be done synchronously in several formats.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the staff to get their picture digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.
2. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which staff can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the various sizes for the various target systems.

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
