The mission goal

The employees in your company are given the option to photograph and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the option to identify themselves at any time to 100% with their individual employee photo.

The staff photos are automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees can sit down in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary actions on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read in from the employee ID. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the photograph of the employee portrait, the background of the recording can automatically be exchanged for one or more backgrounds that you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined position.

The recording is saved in a size and format you have specified (e.g. square for the ActiveDirectory). A comparison between the photographed image and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in several dimensions.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately shown on the picture.

How does the staff get their photo?

So that the CRM system or the ActiveDirectory does not alone get the new photos, employees can choose between three different ways to get their photos digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the screen, which the employee can use to download the original recording as well as the various versions for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the direct vicinity of the Photo Box.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo will be sent immediately to the employee's email address.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Use at trade fairs to issue personalized “flyers”
• Pictures of groups of visitors, e.g. after a tour
• Employee photos (as already explained)
• Creation of biometric passport photos and ID photos

The cost frame

The investment for the purchase of such an optimized photo booth starts at approx. 4,400 € plus VAT and is worthwhile for organizations with around 100 employees.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
