The use of a photo box for employee photos

The employees in your company get the chance to photograph and / or update the individual employee photo at a fixed or alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your teams the chance to identify themselves to 100% around the clock with their own employee photo.

The staff photos are automatically optimized to the appropriate format, freed from disruptive elements in the background and optionally saved in certain dimensions and aspect ratios.

Our proposed solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary actions on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be programmed so that the data can be read directly from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or more of the backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and positioned on the final image at a defined position.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the photographed portrait and the internal employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place simultaneously in various sizes.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee can be directly visible on the picture.

How does the photographed person get the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the employee to receive his picture digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy down his or her original photo and the various sizes for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's email inbox.

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
