The use of a photo box for employee photos

The employees in your company have the option of photographing and / or updating their individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the option to always identify themselves to 100% with their personal employee photo.

The staff photos are automatically cut to the best format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

The solution

You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the operating instructions for the required steps on the monitor.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read in immediately from the employee ID card. The data collected in this way are then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

After the photo of the employee picture has been taken, the background of the recording can automatically be exchanged for one or various background settings you have specified. The head is also found in every photo, adjusted to a specified size and positioned on the final image at a defined position.

The image is saved in a size and format that you have specified (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved picture and the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can be done in several sizes at the same time.

etc. ready.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee will be visible on the picture.

How does the employee get their photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, employees can choose between three different ways to get their image digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photobox.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is then sent to the employee's email address.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to download his or her original photo and the various sizes for the various target systems.

The cost frame

The price for purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
