The mission goal

The employees in your company have the opportunity to create and / or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the opportunity to identify themselves completely around the clock with their own employee photo.

The staff photos are automatically optimized to the appropriate format, removed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

Our proposed solution

You place a photobox set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will stand in front of the photo box in the same way as with a passport photo machine and read the operating instructions for the necessary steps on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo booth can also be configured in such a way that the data can be read out directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or different backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed at a specified position on the final image.

The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the captured image and the internal employee data record. We would be happy to help your IT department clarify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place simultaneously in various dimensions.
So you always have the right photo for
Instagram, XING, Outlook, LinkedIn, Facebook, WhatsApp & Co
etc. at hand.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly visible on the picture.

How did the staff come to the picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, there are three different ways for employees to get their photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original recording and the various formats for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.

Additional deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
