The use of a photo box for employee photos
The workforce in your company has the opportunity to create and / or bring up to date their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the opportunity to always fully identify themselves with their individual employee photo.
The staff photos are automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photo booth can also be set up so that the data can simply be read from the employee ID. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.
After the photo of the employee's picture has been taken, the background of the picture can be automatically exchanged for one or more of the backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed on the final image at a defined position.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image can be output in many sizes at the same time.

Logically, each file can also be “branded” with the help of the company logo and / or the name and position of the employee will be immediately visible on the picture.

How does the employee get their photo?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the workforce to get their picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the staff can use to download the original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the workforce can download their pictures. In contrast to the online gallery, this way only works in the direct vicinity of the photo box.
