The mission goal

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves at any time to 100% with their own employee photo.

The personal photos can be automatically optimized to the ideal format, removed from disturbing elements in the background and, if desired, saved in several shapes and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID card office or at reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and see the operating instructions for the necessary actions on the monitor, just like with the passport photo machine.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the business card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a defined position on the final image.

The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to support your IT department in specifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in parallel in various forms.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How did the staff come to the picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to choose from to get their photo digitally as well.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various sizes for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Use at company parties (summer party, Christmas party ...}
• Employee photos (as explained above)
• Photo attraction at customer events & meetings
• Recording of biometric passport photos and ID photos
• Use at trade fairs to produce personalized “flyers”

The cost frame

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
