What should be achieved?
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the option to always identify themselves to 100% with their personal employee photo.
The staff photos can be automatically adjusted to the best format, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the image.
After the employee picture has been photographed, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the name of the file. We would be happy to help your IT department define the connection.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in many dimensions.
So you always have the best photo for
the CRM system, Facebook, Twitter, XING
etc. are available.
Of course, each file can also be "branded" with the company logo and/or the name and position of the employee will also be visible on the image.

How did the staff get the photo?
So that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for the employee to receive their picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN, which the employee must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then sent directly to the employee's email inbox.
Other uses
To make the most of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.

Since the system was implemented in 2019, two photo boxes have been set up permanently in Germany and in Zurich.
