What should be achieved?

The employees in your company have the option of creating and / or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.

The staff photos are automatically optimized to the best possible format, removed from disruptive elements in the background and, if desired, saved in different formats and aspect ratios.

One possible solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read in from the company ID card. The information collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a check box for internal / external use of the photo can also be displayed.

Following the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or many backrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified position.

The recording is saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved portrait and the internal employee data record. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place simultaneously in various dimensions.

Logically, each file can also be “branded” with the help of the company logo and / or the name and position of the employee can be directly on the picture.

How does the photographed person get their photo?

So that not only the CRM system or the ActiveDirectory get the new recordings, there are three different ways for the employee to receive his picture as a file.

1. Download via QR code from an offline gallery
   The photobox provides its own WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original recording as well as the various sizes for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's inbox.

Other deployment options

In order to get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing such a customized photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
