What should be achieved?

The employees in your company are given the opportunity to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves completely at any time with their personal employee photo.

The staff photos are automatically cut to the ideal format, removed from annoying elements in the background and optionally saved in several shapes and aspect ratios.

Our proposed solution

You place a photobox set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
Similar to the passport photo machine, employees can stand in front of the photo box and read the instructions for the necessary actions on the display.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.

After the employee portrait has been taken, the background of the picture can be automatically replaced with one or more backgrounds that you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio determined by you (e.g. square for the ActiveDirectory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several forms at the same time.

Logically, each file can also be “branded” with company logos and / or the name and position of the employee are immediately shown on the picture.

How does the photographed person get their photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for the employee to receive his photo as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to download the original recording as well as the various versions for the various target systems.
2. Download from an offline gallery via QR code
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery in which the employee can copy down his pictures. In contrast to the online gallery, this path only works in the direct vicinity of the photo booth.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.

Further deployment options

In order to get the most out of your investment, you have the following options:

• Employee photos (as explained above)

The cost frame

The cost of buying such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
