The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that extra employees are not needed on site.
You give your teams the chance to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box and see the operating instructions for the necessary steps on the monitor, just like with the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the required data such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read out immediately from the company ID card. The information recorded in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the employee profile.
Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
Facebook, XING, Outlook, Twitter
etc. within easy reach.
Logically, each file can also be “personalized” with the help of the logo and/or the employee's name and position can be immediately included in the image.

How does the employee get the picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose to receive his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original recording and the different versions for the different target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox.

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
