The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at periodically changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your staff the option to fully identify themselves at any time with their personal employee photo.

The personal photos can be cut to the appropriate format by machine, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the screen.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the employee ID card. The data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the recording.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned at a specified location on the final image.

The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). The name of the picture is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department specify the import interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in parallel in various formats.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will also be visible on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to get his picture digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The Photobooth provides a private WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost frame

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
