The use of a photo box for employee photos
The employees in your company get the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to always fully identify themselves with their personal employee photo.
The personal photos can be automatically optimized to the best format, removed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.
Our proposed solution
You place a photobox set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and see the instructions for the necessary steps on the display, just like with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can simply be read from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After photographing the employee picture, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department determine the connection.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in parallel to some extent.

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee can be immediately included in the image.

How do the staff get their picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to receive their photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to download his original photo as well as the different versions for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
Alternative deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been set up permanently in this country and in Zurich.
