What should be achieved?

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that additional on-site personnel are not required.
You give your employees the option to always fully identify themselves with their personal employee photo.

The personal photos can be automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in several shapes and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, similar to the photo booth.

The monitor serves as a touch screen in parallel as an input terminal for the required information, e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the image.

Following the recording of the employee portrait, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head of each photo is also determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department clarify the interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can happen simultaneously in several dimensions.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can be immediately visible on the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory are not the only ones to benefit from the new images, there are three different ways for the employee to choose from to also receive their image as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery where the employee can download his recordings. In contrast to the online gallery, this route is only possible in the immediate vicinity of the photo booth.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original recording and the various sizes for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo will be sent directly to the employee's inbox.

The price for the purchase of a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
