The mission goal

The employees in your company get the opportunity to create and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the option to identify themselves completely around the clock with their individual employee photo.

The personal photos can be cut to the best possible format by machine, freed from annoying elements in the background and optionally saved in a number of shapes and aspect ratios.

A suggested solution

You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will stand in front of the photo booth and read the operating instructions for the necessary steps on the screen, as they do at the passport photo machine.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read from the employee ID card. The information collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the photo.

After photographing the employee portrait, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen at the same time to some extent.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee can also be visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to receive his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various versions for the various target systems.
3. Download from an offline gallery via QR code
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can copy their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

Alternative uses

In order to make the best possible use of your investment, you have the following options:

• Production of biometric passport photos and ID photos
• Photos of groups of visitors, for example after a presentation
• Photo attraction at customer events & meetings
• Employee photos (as already described)
• Use at employee parties (summer party, Christmas party ...}

The need for investment

The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
