The mission goal

The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves completely around the clock with their own employee photo.

The staff photos can be independently cut to the optimum format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box in the same way as with the passport photo machine and see the operating instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photobox can also be configured so that the data can be read out immediately from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a checkbox for internal / external use of the recording.

After the employee picture has been taken, the background of the picture can automatically be exchanged for one or different backgrounds you have specified. The head is also found in every photo, adjusted to a specified size and placed on the final image at a defined location.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image and the in-house employee data record. We would be happy to support your IT department in defining the connection.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in various forms.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How did the staff get the photo?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, employees can choose between three different ways of getting their picture digitally.

1. Download from an offline gallery via QR code
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to download the original recording and the various sizes for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.

Alternative deployment options

In order to make the best possible use of your investment, you have the following options:

• Photo attraction at customer events & meetings

• Use at trade fairs to issue personalized “flyers”

The need for investment

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
