The mission goal
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your staff the option to identify themselves at any time to 100% with their own employee photo.
The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the photo.
After the employee photo has been taken, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in defining the connection.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in parallel in different sizes.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get his photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, employees can choose between three different ways to receive their photo digitally.
- Entry of the email address at the end of the photo sequence.
The captured photo is then immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to copy their original photo and the different sizes for the different target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
