The mission goal
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel on site are not required.
You give your employees the opportunity to always fully identify themselves with their personal employee photo.
The personal photos can be automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth and see the instructions for the necessary steps on the touchscreen, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
After the employee portrait has been photographed, the background of the recording can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in specifying the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place synchronously in some formats.
So you always have the best possible photo for

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee can appear directly on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory can benefit from the new pictures, there are three different ways for the employee to choose from to receive their picture as a file.
- Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox.
Additional deployment options
In order to make the best possible use of your investment, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Photos of groups of visitors, e.g. after a lecture
- Employee photos (as described above)
- Use at trade fairs to issue personalized “flyers”
- Recording of biometric passport photos and ID photos
The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.

Since the implementation of the system in 2019, two photo boxes have been permanently installed in Germany and Zurich.
