What should be achieved?
The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not required on site.
You give your teams the option to identify themselves to 100% around the clock with their personal employee photo.
The staff photos can be independently cut to the best possible format, freed from annoying elements in the background and, if desired, saved in some dimensions and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees are allowed to stand in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary steps on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read in directly from the employee ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be set up.
After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or more backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in several dimensions at the same time.

How does the photographed person get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email inbox. - Download from an offline gallery via QR code
The photobox provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can copy his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy down his original recording and the various sizes for the various target systems.
