What should be achieved?

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the opportunity to always fully identify themselves with their individual employee photo.

The personal photos can be automatically adapted to the ideal format, removed from annoying elements in the background and optionally saved in many shapes and aspect ratios.

A suggested solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with the passport photo machine, and read the instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID card. The employee data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the image. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place synchronously in various formats.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position can be immediately visible on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to get his photo digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent immediately to the employee's email address.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original photo and the various formats for the various target systems.

In order to get the most out of your investment, you have the following options:

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
